For over 10 years, the State of West Virginia has partnered with Brightly (formerly Dude Solutions) to provide the 56 public school districts throughout the state with the software needed to effectively manage preventative maintenance. A new state action continues to require all schools to have a preventative maintenance program in place; however, it recognizes that requirements may vary by district. Therefore, the state has passed purchasing authority to the individual school districts and mandated that all programs be in place by January 1, 2025.
Great news, Brightly already is the solution. For over 25 years, we've worked with over 5000 school districts across the country, and we realize that each district has varying needs for asset management.
Watch this on demand webinar designed specifically for the school districts of West Virginia to make this state mandated transition as seamless as possible. We discuss three strategies that will help you easily transform to a future state of facility management that meets your needs for both today and tomorrow.

Hi there, everyone. Welcome to the West Virginia webinar. I'm Brie, account manager here. We are gonna give our other school districts about another minute or two to pop in. So and get started here in just a few minutes. Alright. Alright. It looks like we have a few more people hopping in. I'm gonna give it, just about a minute more, and then we'll get started. Alright. Last few people are joining now. Give them just a few more seconds. Alrighty. I think for the most part, we have about everyone. Might have a few pop in here, but so excited to have everyone here today for our West Virginia webinar. Happy that you've joined us for the discussion around maintenance direct, asset essentials, and budgeting. I'm Bree Layman, account manager here at Brightly, and I've primarily worked with our West Virginia higher education commission over the past two years, and, I really look forward to serving the state's k twelve school systems as well. With me is our senior solution consultant, JT Johnson. He will be our subject matter walking us through asset essentials today as well as answering any questions you may have regarding your current platform. You may also see, Josh Johnson, one of our senior, sales development reps that has been contacting each of you. You may see many different emails and phone calls from him. So he's another person here helping to, guide you with next steps. So, before we get started, I do have a few housekeeping items I wanna read off. Just to let you know you will be muted today during the session, but I'm sure you're gonna have many questions, for JT and myself. So please use, the q and a function on the left of your screen at any time during the session to submit those questions. We're gonna answer those questions live at the end of our webinar. And, if we need to follow-up after in case we don't get to them live, we'll do that as well. This session is also gonna be recorded, and it will be sent to you via email afterwards. So no need to try to jot down any information during the demonstration. We'll get those to you. There's also a short survey at the end of this webinar, so I appreciate any feedback. That'd That'd be wonderful. And lastly, you're gonna notice our related contact section on the side of your screen as well. Feel free to use those links for additional resources. Alright. We're about four minutes in, so I'm gonna get us started. Quick agenda for the day. We're gonna review what's going on here in the state of West Virginia, give our guidance for next steps, and then we're just gonna jump right into the demonstration of asset essentials. We'll then give, our contact information and open it up for that q and a section. So reminder, that q and a feature down on the left side of your screen, please go ahead, start submitting those questions. I know we already have one here. So, anytime you just put it in there, we'll get to it live. Alright. So we're gonna start off with a quick poll for the group. So, if you would take a look at the screen and no pressure at all, just answer to the best of your ability. The question being, when is the last time your institution conducted a facility condition assessment? Again, no pressure. If you have this information or not, so we have a, less than a year ago, b, between one and three years, three plus years? And for our funny guys in the group, what is a facility condition assessment? So I'll give you about twenty twenty seconds here to answer that. Alright. We had some funny guys in the group. What is a facility condition assessment? And then less than a year ago, that's wonderful. Wonderful to see that we have some really great data in the health of your current assets there. Alright. So we're gonna jump right into it. What's happening here? Over the past ten years, as you may have known, the state of West Virginia has partnered with us, Brightly School Dude, to provide those fifty six school districts throughout the the state, with software they need to effectively manage their PMs. With this new state action continuing to require all the states and, all the schools within the state to have a PM program, but it also recognizes that requirements may vary from district to district. So, that's where the state has has passed the purchasing authority over to you as individual school districts, with the timeline of January first twenty twenty five. And that's where JT and I are here to help with today. Right? Majority of the school districts on this call are still using maintenance direct, PM direct. If you have already migrated over to asset essentials or implemented other platforms we offer, you can see those here to the right of your screen. We're also here to provide guidance of what options you have moving forward with this new information from the state. So for many of you, maintenance direct and PM direct have worked great for your teams, and and that's fantastic. You are more than welcome to continue using these platforms. But, Asset Essentials is our new work order preventative maintenance and asset tracking platform, and this is gonna be available to our current and brand new institutions. Nearly all of our clients on today's call have been long time school lead family members, and, Brightley's leadership has recognized this. They truly have. And if you feel asset essentials would be a better fit for your team after viewing this with JT today, we have been given the permission to use, significant, and then I say significant discounting, because we truly value our partnership with each and one of you, and we wanna put our best foot forward. Okay? So let's dive right into asset essentials with JT. Please do remember to use that q and a feature to ask any questions that come to mind. I know we had another one pop in here while I was speaking. So, without for I'm gonna I'll let JT be have. Well, thank you so much, Bree. Thank you so much, team from West Virginia. A little bit about my background. Been around for a very long time. The school due days, I think I was employee, like, you know, two hundred something in the in the high two hundreds there. Supported maintenance strike, PM Direct, inventory direct, all of our classic products for many years and moved over to Breeze team with acid essentials. Today, my job, I'm just gonna do a very high level, just quick overview of some of the differences between Asset Essentials and the things that we've, improved upon when it comes to our legacy solutions. Any questions that you have, please ask them ask them to Bree in the q and a function, and we'll get those answered. So, Brie, I'll just confirm. Can you see my page here okay? I sure can. Awesome. Thank you. Team, just to orient you where I'm at, this is our request page. So we've really cleaned up this process, made it streamlined, easy for your end users to use. There's no more eight step process with this middle password. We've got the location that they can fill out here. I've got my work categories that they can utilize. This is configurable unlike maintenance direct where it's that, predefined category list here. One of the nice benefits too is that they can also submit this from their phone. So if they've got a picture, they've got a video, they've got anything that they wanna, get there right in the field for your team, they can do that from their mobile device, whether it's Apple or Android. Really clean, easy process for them to see where their work orders are at as well. We've got all of my new request, what's been assigned, any notes on there as well. They can expand this out and search these fields now. It's a great benefit for anyone throughout your district that, doesn't necessarily need to know where, their work order is in every single step, but but I just wanna know that it's been completed, and I wanna know what, my maintenance staff has done. So right here as we navigate, I'm gonna share up my screen for the admin page. So it looks like it didn't share there. That's okay. Alright. Team, just to orient where I'm at, this would be the new landing page. So one of the things that we've updated from maintenance direct and PM direct is the fact that everything is under one platform. So you're not having to navigate between PM direct and maintenance direct. You've got everything right here in asset essentials. Essentials. We keep all the work orders nice and clean. I've got all my PMs. I've got all my reactive work orders. I've got all my overdue. So that eliminates the need to do an advanced search for every single work order throughout the day or for the week. For your teams, they can have individual views, keeps it nice and streamlined, and, allows everyone to have a flexible navigation. Another update that we've done in asset essentials, I get this question a lot when for our maintenance direct clients. You know, what does it look like to assign a work order? Do we have the ability to sign multiple? I have two or three guys that need to be a part of this work order. I just can't just assign one work order to one guy. Well, one thing that we've done is we've made that process very clean, very streamlined for any of you or your supervisors. So I've got all three work orders here. I've got multiple guys I wanna get assigned to this work order. Makes it nice and easy for them to see what's been assigned to them, whether it's on the desktop, whether it's on our mobile app, And we've got that ability to now track multiple technician abilities, single work order or on a group. Anything else that's applicable in that work order, you can certainly get them assigned there. Once again, allowing you that flexibility and that ease of use within the system. One of the things that we've also updated from a searchability, aspect team is the fact that now I'm not having to run a report on a specific building. I can just click on that in the navigation bar on the left hand side, and I can see all my requests from that specific building. I know it's been completed. I know it's in progress. I know what's a new request. I know if my team has added any notes to it. So those are things that we've cleaned up, makes it nice for you so that way you don't have to hunt down that information. We do have a configurable column chooser as well. A lot of clients, they've asked me in the past, you know, I don't wanna just have to run a work order summary report for my labor. I just wanna pull that in. I wanna see what's done here. These are things that you can pull in, configure it, tailor to how you'd like to see it. The next thing that I'll take a look at right here, and we'll be very brief, I've got all my PMs. So any PMs that you have within PM Direct, we can get them over into Asset Essentials. You don't have to worry about losing that data. We'll make sure that you've got what you want. But some of the the nice benefits that we've updated in the system is I can take as many work orders as or these PMs as I'd like, and I can get them reassigned or I can update the recurrence pattern. A lot of you, you're doing that individually. You're reassigning ten PMs at a time if someone retires or someone doesn't do that function anymore. Well, now I can do all that within a few clicks. So I've got thirteen HVAC PM tier team. I've got, the ability to update them in mass. A lot of folks, they keep asking us on the support side, I don't want this work order to be generated at twelve AM and send an email to my technician at twelve AM. Well, you can determine when that work order gets generated for those PMs. You can, just like those work orders, assign these to multiple technicians, an entire department if you'd like, allows everybody to have that visibility and transparency there and even the recurrence pattern. We've seen this over the last couple years with uncertainty when buildings are open or, you know, in our case, in North Carolina with weather events and things, well, we're not open this day. We've gotta shut down this, specific, asset. We can't do these PMs. Well, team, you can update these. You can pause them. You can change those recurrence patterns for all of your PMs at once. Any other documents that you've got, we can bring those over, associate those to those PMs so that way you've got a standard process for everyone involved. The next thing that we'll navigate to is your asset list. So think of this as your equipment in maintenance direct and the things that you're doing PMs against and we can certainly update those in asset essentials too. Get them over, move them, add anything that you would like to. One of the benefits of asset essentials is that you can set up different views. So if you wanted to just see that list and where they're located, you certainly can. But a lot of our clients are taking advantage of the fact that now I can see that condition. I can see my replacement date and that replacement cost. So as my team are, are doing their work orders and adding their labor to it, I can now make a great decision on, do we continue to repair this asset or replace it? You can do this process in maintenance strike where you're pulling in multiple reports. You're having to do an advanced search for that piece of equipment, and you're having to make a, a much longer process where you can do it within a few clicks here. You can have different views. I know some of you, you don't track every single ass asset in the district, but maybe you've got a list that's pretty critical to the district. I've got everything over five thousand dollars here. I can pull that in. I can easily say, hey. At the top of my list, I've got a failing bus. It's it's expected life was fifteen years. We're past that. We need to, potentially secure funding to replace that asset, or I wanna see all of my boilers. That is something that can be pretty cumbersome in maintenance direct because it pulls in, some pretty random, you know, search fields there. But right here, I've got all my boilers. I know their condition, their expected life, and I can track that work order cost. We do have reporting for those different functions there, but that is certainly something that we can also touch on at a later date. So, team, two more things here. I've got parts and inventory. So if anyone's using inventory direct right now with maintenance direct and PM direct, we've also added that in. That is something that you don't cert you certainly don't have to add into asset essentials, but it's an added benefit. And the last thing here I'm just gonna drag this over and share out the last thing. We now have a mobile app. So a lot of clients have been asking for this. They're using the work center app. They're using the SchoolDude app with which is just the desktop. Well, now we have a mobile app. So Asset Essentials allows your guys to see all of their overdue work, any of their PMs, any reactive requests. They'll have a nice clean view of all their work orders and where they're at as you assign them. Another added benefit is that they your end users, so your teachers, your faculty, administrators, they can create a work order right from their full. And now I've got an asset view. So your guys, they can actually come through. They can scan a barcode. They can see that work order history, nameplate data, warranty information, anything that's applicable for them for that work, parts, how many PMs have we had against this asset. They'll have access to this in the field. No longer having to sit somewhere, like on, Brianna, we had a client. Yep. My guys have to pull out their their their laptops. They find somewhere to sit. They update all that data. After the fact, or they've gotta, you know, pause what they're doing to search for, any of those fields for that asset, or right here, they can pull out their phone, iPad, tablet, and they can knock that out right, in the field right there in front of the asset. So, team, thank you so much for your time today. If you've got any additional questions, like I said, please feel free to drop those in the chat. I'm happy to answer those. Same thing for Bree, but but we are so thankful to your clients. Thanks for taking some time. With me today is, been a very high fly by of asset essentials. Back to you, Bree. Awesome. Thank you so much, JT, for that. Alright. So what's next? Right? We want you to have your internal conversations with your teams. As JT mentioned, you know your teams best. And so have those, and then we'd love to schedule time with you to help you with next steps, whether that be stay with you you're currently using maintenance direct PM Direct, explore asset essentials a little more. Maybe you wanna personalize demonstration from JT, really get into the nitty gritty, to see how that would look like for you and your team. If you need pricing, please reach out to me, any additional questions. But we are here to take you to whichever next step that you decide is best for you and your team. Alright. And here, I wanna I know many of you have heard from me, and Josh, but here is our contact information. These are our direct lines. Please don't hesitate to reach out to us today. We will make time within the coming day to reach out to you, just help with next steps. As we're finishing up here, I do want to address questions that have come through. Again, please, anything on top of your mind, go ahead and throw in right now for us. As of now, JT, we have two. Somebody has asked what what is the cost? Again, everybody's is gonna look a little bit different based on the size of your school district. So, let's get on a call, with me, and then we can get that drafted up for you. JT, another great one here. What does support look like after implementation within asset essentials? Oh, that's a great question. So you're already used to our legendary support team with maintenance direct and PM direct. Well, now we have twenty four seven support. It will be unlimited for y'all, for your teams, for your end users. So that way, you still have that same level of service that you're used to, but we have twenty four seven support. So after hours, on the weekends, you're doing those specific things. We can help out with that. Awesome. Thank you. Had another one just come in. Does everything migrate for maintenance direct, MPM direct, and what type We're good there. Bree, I'll I'll I'll drive the ship. So, so yep. Great question. When it comes to that process, everything that you would like to be migrated certainly can. Nothing will be lost. What type of setup is involved? We've got an implementation team that does this every single day. They're used to migrating our clients, giving some them some good best practices and a good foundation. But, honestly, anything that you would like to be pulled over, locations, users, PM schedules, any of your routing rules, any of your, work orders. If you'd like to have, like, a baseline in there, you you can certainly bring that over. Wonderful. We had a question. Can we add multiple technicians to work orders? Yeah. Absolutely. So you can have a hundred technicians assigned to one work order. I wouldn't advise that. They would not be happy. But you can you can have three or four guys assigned to a work order or to a group. So that way, as they're working on it as a department or a project, you can track their individual metrics. Yep. Wonderful. We had another question here. Yes. We will receive this video and recording sent to your emails after the fact. So, yes, you will get over copy of this. Alright. Alright. Oh, one more. Okay. What does implementation look like? Yep. So that's kind of what that setup process is like. We'll partner you with one of our implementation specialists. They'll take a look at your data in maintenance direct. Do all these equipment, or does it do all these assets look right? Do all your PMs, need to come over? Do all these users need to come over? Anybody retired? Are all these locations applicable? So we'll take a look at everything that you've got in maintenance strike, make sure it looks good, and then we'll migrate over into asset essentials. So implementation typically takes, sixty to ninety days. Bree, once again, she can cover a lot of that and follow-up emails with that pricing, which those typically come handy. Alright. About how many people have migrated over to Asset Essentials? Oh, man. I wanna say around a thousand? A lot a lot of our clients. Yeah. Yeah. Great question. Alright. Any others from the group? Okay. Alright. Well, we appreciate, your time spent with us today, and we appreciate you as current clients. I know I've had the pleasure of speaking with, a good chunk of the group here, and I look forward to partnering with you with whether it be with maintenance direct, PM Direct, or asset essentials and any of our other products. JT, Josh here, we're your team to lean on, and, we look forward to our future conversations here in the next few days. So thank you again for your time, and, enjoy the rest of your Thursday.
